II. Summary

Things seem to be gearing up for Masquerade and SWRE! I made an
announcement a while back, if you get your log turned into this office by
May 1st,
routine audits and locks will be sent up to National or approved at Regional
level by June 1st.
I have been informed that there might be a delay on some of the National
Audits, so please be patient if you haven't heard back from them yet. You
are always welcome
to drop me a note however, and I'll see if there are any specific delays on
your log.

soon. [1st MONTH]
ARC Admin: Give national a little time on this, I Know my own MC review
(with a previous lock) took a few weeks to have the award letter sent.
2. Andrew Wallin (US2009074487) donated to the Regional Charity (National
Haiti Disaster Relief Drive) and wasn’t on the last Regional report.

i. No Response from ARC Charities. [1st MONTH]
ARC Admin: It may not have been on the regional report, but national awards
the National charity prestige, check the US NC report for the month the
prestige was to be awarded (the feb NC report is not out yet but should be
soon). Casey doesn’t put this report together myself and Erin do. And As the
ANC charities, if it was in casey’s arc report, it should be up on the
appropriate NC report.
Also there was a format for the national charities to get submitted in,
which hasn’t been used by the CC/DC’s in most areas in the us (except for
the SE region in which it’s SOP to report regional charities in a similar
fashion) Which makes it much easier for people having to scour reports for
regional/national charities.
Questions:
1. How do I fold the two Chapters into my Domain?
ARC: I believe one of the two Has been folded, If not that was an oversight,
as the previous DC requested it’s folding and the members to become part of
the domain or other chapter. The Sepulchre CA 024C was supposed to be
closed, will be addressed to the RC and ANC chapters.

Problems: The Regional reports list Liz Dupont US2007111285 as the chapter
coordinator for Velvet Glove in the Domain of SLC. That is my maiden name
and I have not been their coordinator since Aug.
ARC Admin: the CRD should more correctly reflect that information, sadly
that section often gets missed, working on a way to make that more easily
updated.
The ARC Charities report reflected my recommendations for prestige, but none
of it was shown as awarded on the Regional report last month.
ARC Admin: I think the Feb report wasn’t pasted into the report, corrections
should be made in this report.
Questions: How do I hire assistant coordinators in the CRD?
ARC admin: There should be a button to add new under assistants. Create the
position, then hired the assistan There may be a bunch of options that
aren’t really important for chapter level assistants to have checked off.
As an independent chapter, when the VSTs want to recommend prestige, who do
they report it to so it can be awarded?
ARC Admin response: Coordinators are the one’s who award prestige, so you
would be the one awarding the recommended prestige, unless the member is
from another domain/chapter.

Project:
Member Class Tracking Database finished and included. This is the first
completed draft. Should any Coords notice any errors feel free to email me
and they will be fixed for the next report. This project has brought to the
forefront the fact that several Coords are not keeping their reports up to
date. Multiple Coords have members listed in their reports with a blank or a
? where the MC should be and this has been on the reports since October that
I have noticed. If a member is in your chapter/domain then why have you not
updated their MC level for 6 months or more? The ARC's do use your reports
for their own reporting needs and in the data entry addage, garbage in =
garbage out. Our numbers cannot be correct if yours are not.
ARC Charities Project:
Summary
At this point in time, all the members should be caught up on any past
prestige. The next quarter of charities will be posted in the next 7 days or
sooner.
Also currently requesting charity suggestions from all members. Prestige
will be awarded for charity suggestions that are feasible for the region,
whether or not they are used.

- waiting to get the RST reports, I have contacted them and once I have them

New:
What do you think about added an FAQ to the website or the SW wiki. Where we
can put things like the fix I suggested on the list for the expired
membership problem? that way we can have a helpful little quide there. So I
am open to things we would want to place there.
ARC Admin: you could, but there’s a FAQ page on the USNC’s website for such
information
SWRC: Again, you could. You could also have a section for FAQs that seem to
be more common for our region, along with a link to the FAQ's on the USNC
website.

CURRENT PROJECTS:
The Nov/Dec 2009 Newsletter has been uploaded to the Regional website. Now
trying to resume working on the Jan/Feb issues, and might as well start on
the March/April issue while we are at it.
The liaisons idea is being reconsidered, with using instead "assistant
editors for specific parts of the newsletter. The ARC is first going to make
a follow-up message after the newsletter has been announced as live to see
if there's still more interest. Then he's going to see which approach might
work best.

PROBLEMS:
Again, biggest problems are delays and lack of commitment to contribute
content. An artist was presumably to supply artwork for the Nov/Dec issue,
but the art was lost at the last second and so the issue was released
without it.
We are working to see how to get more interest and contributions to the
newsletter.
